Visitor management

Know who is on site – and that everyone has been briefed

Visitors, suppliers and service technicians do not know the hazards on your premises. EHS Go registers them on arrival, links the required safety briefing and deletes their data automatically once it is no longer needed.

In practice

Contractors and visitors at the plant

Service technicians, fitters, suppliers and auditors: manufacturing sites have external people on the premises every day. At the tablet in the gatehouse they check in, confirm the plant's safety rules and appear on the attendance list until they check out again.

01Features

What the module does

Self check-in on a tablet

The app runs as a visitor kiosk at reception. Guests register themselves and their host is recorded.

Registration by reception

Alternatively, reception staff register visitors and contractors in a few clicks in the web app.

Safety briefing on arrival

Required briefings and access permissions are linked to the visit and confirmed.

Who is on site

The list shows at any time who has checked in and not yet checked out.

Check-out by click or automatically

End visits manually or close them automatically after a defined period.

Automatic deletion

Visitor data is deleted after a configurable period, in line with data minimisation and storage limitation.

02Workflow

How it works in EHS Go

The visit appears in the list of people currently on the premises.

  4. 04

    Check out and delete

Check out on leaving or automatically; deletion when the period expires.

03Legal basis

Regulatory context

Articles 10 and 12 of the EU Framework Directive require employers to ensure that workers from outside undertakings receive appropriate information and instructions about the risks on site. In Germany, section 8 ArbSchG sets out the same duty and the coordination of several employers working in one place. Visitor data is subject to the GDPR principles of data minimisation and storage limitation (Art. 5 GDPR).

Key regulations

  • Directive 89/391/EEC, Art. 10 and 12
  • ArbSchG § 8
  • GDPR, Art. 5

05Questions and answers

Frequently asked questions

How long is visitor data stored?

For as long as you specify. When the period expires, EHS Go deletes the data automatically.

Do we need additional hardware?

No. A standard iOS or Android tablet running the app is enough for self check-in. Without a kiosk, reception registers visitors in the web app.

Is it suitable for contractors as well?

Yes. External service providers are registered like visitors and linked to the briefings they need. Coordinating the work itself is handled through the risk assessment and corrective action management.

Is visitor management GDPR-compliant?

Data is stored in Germany, access is controlled through roles and automatic deletion implements storage limitation. We provide a data processing agreement.
